Position Summary

The Operations Analyst for the collection, analysis and reporting of operational data for Waterfront Shipping. Principally operating within the Veson IMOS Platform, the incumbent will gather global data on an ongoing basis and provide reports to support Management in making optimal decisions. They will also be responsible for database management. This role reports to the Director, Operations and also provides business support to the Operations team.

We seek an individual who is keen to add value by providing useful KPIs, identifying trends and variances, improving data integrity, and progressing our focus on analytics.

Position Responsibilities

Database Management

  • Collect data for Waterfront global operations from regions and commercial supply chain and enter data into IMOS to develop required KPIs
  • Input and maintain updated data in IMOS (e.g. time charter fixture notes, commercial contract information, bunker consumption data, EU ETS data, spot fixtures voyages, etc.
  • Ensure system data integrity and follow up with stakeholders to address issues
  • Ensure IMOS position book is updated to reflect vessel schedule changes on a daily basis
  • Check for and update SOFs for spot voyages
  • Prepare and review pertinent laytime calculations
  • Check and review any applicable off-hires and IMOS forms approval status
  • Project work related to Systems / Applications projects; may be department representative / liaison

KPI Reporting

  • Produce high quality quarterly reports working with leaders, which can be used by Operations management to assess performance and to set future goals for global shipping operations
  • Keep KPIs updated and develop necessary reports in Excel; assist in the development of new KPIs and improve functionality of existing ones in conjunction with team members
  • Maintain port performance tracking and analysis database
  • Maintain vessel hire database for TC OUT voyages and Commercial
  • Maintain tank cleaning performance database and others
  • Produce quarterly ESG reports on relevant KPIs; prepare draft of annual ESG report for review

Document Management

  • Process and pay monthly vessel hire payments. Coordinate any adjustments & error with vessel owners/brokers/operators
  • Track and analyse bunker and fuel purchases
  • Maintain and update Operations manual for use on ships
  • Maintain and review Veslink forms for IMOS use

WFS Management System (RC/ISO) Continuous Improvement

  • Continuously participate in the promotion of further development for our Quality Systems
  • Actively participate in the achievement of WFS cost and waste reduction
  • Actively participate in WFS Management System and be involved in developing a system to improve group participation and involvement

Position Qualifications

  • 3+ years of relevant experience (e.g. data analysis, reporting)
  • Excellent analytical and interpretive skills – ability to question and explain variances, produce and present detailed graphs, and to make projections based on information received
  • Advanced skills in Microsoft Word, PowerPoint, and Excel – including various functions such as Pivot Table in order to develop and maintain quarterly reports and improve reporting capabilities
  • Strong attention to detail to gather and enter data into database accurately
  • Strong communication skills to concisely summarize information and deliver clear messages to variety of stakeholders
  • Ability to work under pressure where critical information is required to meet tight deadlines and delays and/or errors can have significant implications on decision-making
  • Exceptional organizational skills; able to exercise flexibility and good judgment in managing priorities
  • Self-starter with the ability to take initiative and work well independently
  • Strong interpersonal skills to interact and collaborate with a variety of stakeholders
  • Knowledge of the operations of an international shipping company an asset, in order to evaluate the reasonableness of data received and seek rationale for variances
  • Quick learner, with keen interest in the Shipping/Logistics industry
