Position Summary

We are seeking a highly organized and detail-oriented Administrative Assistant to provide comprehensive support to the Manufacturing departments / IT. This role is responsible for a variety of administrative tasks, including issuing the purchase request, managing dashboards, attending meetings, and assisting with various projects. The ideal candidate will be a team player with excellent communication and interpersonal skills.

Position Responsibilities

  • Follow up the issuance of the Time sheets and leave request on workday.
  • Manage and update departmental dashboards, collecting data and reports.
  • Participate in mandatory meetings, including training sessions and departmental meetings.
  • Utilize MAXIMO to build and track work orders, RFQs, and DTRs.
  • Coordinate travel arrangements, including flights, visas, transportation, and hotel reservations.
  • Process expense forms, site access requests, exit requests, and IT requests.
  • Manage DocuSign workflows, sending documents for signature and following up on completion.
  • Perform various administrative tasks, including:
    • Scheduling meetings
    • Updating departmental organizational charts
    • Issuing onboarding and offboarding forms
    • Coordinating training sessions
    • Providing general team support
    • Handling invoices and following up with Finance
    • Collecting man-hours/manpower data
    • Generating monthly and weekly reports
  • Be part of admin assistant pool supporting and covering each other as needed.
  • Stationary order.
  • New Joiners onboarding (create and facilitate onboarding agenda, transportation, Permits, PPEs, IT requests, Systems Privilege).
  • Establish and distribute Dept Safety Dashboard, KMI stats.

Position Qualifications

  • Bachelor’s degree in business administration or a related field.
  • 3 years + in previous administrative roles, internships, volunteer work, or even extracurricular activities that demonstrate the required skills and qualities.
  • Proficiency in using Microsoft Office software such as word processing, spreadsheets, and email is essential.
