Position Summary
We are seeking an experienced administrative professional to support various stakeholders (Global Supply Chain, Senior Account Executive, Low Carbon Solutions) based in our Vancouver office. This role reports to the Director, Global Supply Chain and provides administrative and business support services such as calendar management, document preparation, file and website management, general correspondence, data consolidation & reporting, and coordination of meetings, events, and travel. The incumbent will be the primary administrative contact for the Marketing & Logistics (M&L) function in Vancouver, handling customer visits and global meetings. There will also be responsibility for administering Methanex’s global subscriptions.
Position Responsibilities
General Administrative Support
- Provide general administrative support to the Global Supply Chain team, Senior Account Executive, and Low Carbon Solutions team
- Coordinate conference calls and meetings (internal and external), including booking rooms and equipment, setting up catering, preparing agendas, taking and distributing meeting minutes, maintaining action logs
- Coordinate and/or support M&L customer visits, global M&L meetings, Low Carbon Solutions meetings, and other important meetings / events in Vancouver
- Plan and coordinate department / team events in collaboration with other cross-organization administrative team members
- Coordinate travel and visa requirements within the Global Travel Guidelines. Prepare comprehensive travel itinerary for travellers
- Prepare and accurately code expense reports, assist with department budget preparation, as well as monthly reconciliation of expenses
- Serve as departmental superuser for SharePoint managing all requirements for file managing and related
- Assist with the preparation of weekly and monthly reports and PowerPoint presentations
- Provide overflow support to other Assistants / teams during peak workloads and absence periods as required, including Reception coverage
Business Support (Data Consolidation & Reporting)
- Preparation of monthly reports, sales forecasts
- Data consolidation to support various reports
Global Subscriptions Management
- Site owner of Global Subscriptions SharePoint site – download and upload reports on weekly basis, manage user access and inquiries
- Manage financials and partner with VP, Global Supply Chain & Market Planning and Global Marketing Manager to negotiate renewals; submit invoices in Oracle
- Check subscriptions mailbox and troubleshoot issues related to email distribution lists
Position Qualifications
- Minimum five years of experience in similar administrative role, ideally supporting global teams
- Outstanding administrative skills (planning, organizing, coordinating, implementing) with customer service orientation
- Excellent interpersonal and communication skills (oral and written) for interacting with employees, customers, and vendors
- Highly organized self-starter with strong time management skills; able to manage several competing priorities effectively with appropriate follow-up to multiple stakeholders
- Considerable experience with international travel coordination
- Skilled in consolidating and presenting quantitative data with strong attention to detail
- Advanced computer skills, including full competency using Microsoft Office suite to prepare PowerPoint presentations and manipulate data in Excel; SharePoint experience an asset
- Able to manage confidential issues with discretion, tact and diplomacy
