Position Summary
The Office Manager plays a vital role in ensuring the smooth and efficient operation of the corporate head office, supporting a wide range of functions including office administration, facilities management, IT integration, corporate travel, and office committee support. This dynamic position requires strong organizational skills and attention to detail with a proactive approach to workplace excellence, with the ability to collaborate with cross-functional teams and external partners to maintain a productive and welcoming work environment and support ongoing business operations and projects.
The expected hiring salary range for this position is CAD $74,900 – $91,500. The actual base salary offered is determined based on the successful candidate’s relevant experience, skills and competencies and will consider internal equity.
This is an onsite role based in the Vancouver office. Remote work is not available
Position Responsibilities
Office Operations & Facilities
- Oversee daily office operations including space planning, facilitating office moves, and workplace setup.
- Coordinate sourcing, installation, and maintenance of all office furniture, fixtures, and equipment (FF&E).
- Oversee the day to day management of the Vancouver facility, including office security, parking facilities, janitorial and maintenance staff, office and kitchen supplies, and office equipment.
- Coordinate and oversee regular office maintenance projects and support minor construction, and renovations as needed.
- Act as liaison with Cadillac Fairview for building management and facilities matters and is a key contact for office related corporate crisis and emergency protocols.
- Facilitate new employee office orientations to ensure a seamless onboarding experience.
- Maintain Business Services Sharepoint site and maintain shared resources.
- Process/Approve invoices and expense reports.
- Conducts regular office walkarounds and inspections to ensure safe, clean and tidy office environment is maintained.
- Maintain and administrator for Corporate memberships.
- Oversee all front office and reception duties and provide back-up coverage.
Vendor & Procurement Oversight
- Maintain strong vendor relationships and manage procurement activities related to facilities and business services.
- Manage inventory of assets.
- Manage office budget and expenses, ensuring cost efficiency and accuracy.
Committee & Meeting Support
- Provide administrative support to the Vancouver Site Management Team (VSMT), including arranging meetings, preparing agendas, and tracking action items.
- Provide on-site support with global meetings, customer visits, and other ad-hoc meetings.
- Support various committees (e.g., MiXers, SRC, Vancouver Health & Safety Team) and maintain close communication with committee Chairs & Executive sponsors to ensure effective communication and delivery of committee objectives.
- Actively participate in at least one internal committee (e.g., Vancouver Health & Safety Committee).
- Support EA with admin team initiatives and team-building activities.
Corporate Travel Management
- Manage the Vancouver Corporate Travel program, including relationships with travel providers and preferred vendors (hotels, car rentals, etc.).
- Maintain local hotel partnerships and negotiate corporate contracts, rates, and memberships.
- Ensure travel arrangements align with company policies and provide support to travellers as needed.
Culture & Engagement
- Build and maintain strong relationships with Vancouver admin team providing support when needed.
- Support various teams with the coordination of office-wide events, charity initiatives, and employee engagement activities by arranging catering logistics and clean-up.
- Contribute to a positive, inclusive, and safe workplace environment.
IT Integration & Support
- Act as a superuser and business partner to the IT department to support technology rollouts and office-wide IT initiatives.
- Assist with implementation, testing, and troubleshooting of new office applications and systems.
- Support the office with change management and adoption of new technologies.

Position Qualifications
- Extensive experience in a similar office or facilities management role.
- Strong organizational, multitasking, and time/project management skills.
- Excellent communication and interpersonal abilities, with a collaborative and service-oriented approach.
- Proficiency with Microsoft Office Suite and familiarity with office technology systems; experience with IT rollouts is a plus.
- Ability to manage projects, vendors, and multiple stakeholders with professionalism and efficiency.
- Experience managing corporate travel or vendor contracts.
- Flexible and proactive, with a willingness to take initiative and adapt to changing business needs.
- Comfortable with technology and change management.
- Ability to work independently and collaboratively across teams in a fast-paced environment.
- Proficiency in Microsoft Office Suite and familiarity with office technology systems.
- Experience in vendor management and procurement.
- Event planning and coordination experience.
- Knowledge of health & safety practices in an office environment.
